Accounting Specialist

Fire Protection Publications (FPP) is a mission-driven, values-based organization dedicated to the production of high-quality educational content for the international community of firefighters and first responders. FPP is an Engineering Extension unit of the College of Engineering, Architecture and Technology at Oklahoma State University.

We are looking for the right individual to serve as Accounting Specialist. This position is part of the Accounts Payable team within the department. A successful specialist will process purchase requisitions and purchase card transactions, track inventory tagged equipment. Other duties included are monthly reconcile data entry of FPP system to OSU system, inventory receipt to stock, campus vendors and purchase cards. This position will cross train with co-workers to fill in as needed. This position will prepare, edit reports, correspondences and other documents for management.

This position will be based in Stillwater, OK. Areas of responsibilities include but are not limited to:

  • Review all purchase request for appropriate authority, completeness, compliance with policy and budget information
  • Procure materials and/ or services on own authority that are within dollar limits and policy, utilizing the P/Card as appropriate.
  • Prepare and submit purchase requisitions to OSU for purchase that are beyond authorized limits and/or a required by policy.
  • Order and stock office supplies for FPP supply room and FPP conference room.
  • Data entry of FPP P-Card reports, travel expense and campus vendor invoices into FPP software.
  • Assist in reconciling the Banner and xTuple reports.
  • Provide purchasing services for FPP and related organization, within the authority levels and scope delegated by OSU and approved by FPP.
  • Prepare monthly P/card transaction reports with receipts for all P/card purchases
  • Match receiving documents to purchase requisitions for resale inventory purchases to ensure proper receipt of inventory and record receipts to stock into the FPP software system.

Qualifications: High school diploma (or GED) and four years related experience in accounting, general business or related field. Two years’ experience with Microsoft Excel and accounting software. Have the ability to learn OSU systems, policies and procedures governing vendor activity. Ability to work on multiple project at the same time. Possess excellent oral and written communications skills. Ability to work independently and in teams. Compensation: Compensation for this position will be based on work experience, skills and abilities the selected candidate brings to the position. The current hiring range for Oklahoma State University is $13.00 - $18.00 per hour.
